How to manage and share Notetaker recaps

Notetaker is being gradually rolled out to eligible users. Join the waitlist.

When enabled, Calendly Notetaker records your Zoom or Google Meet calls. It creates a recap you can keep private or choose to share.

For example, you can:

  • Share a link to a recorded meeting
  • Email a recap with notes and a video link
  • Protect recordings with a passcode

Before you begin

  • Enable Calendly Notetaker for your meetings.
  • Notetaker can record Zoom and Google Meet meetings, regardless of whether you're the host or if the meeting was scheduled through Calendly or your Google Calendar.

Find and open a recap

To locate a Notetaker recap:

  1. Go to your Recaps or Meetings page.
  2. Find a past meeting.
  3. Select the recap or choose View recap.

To share a recap page link with others:

  1. Open the recap.
  2. In the top right, select the blue 36312563596695 link icon.

Share a recap by email

  1. Open the recap.
  2. Select Share recap in the top right.
  3. Choose to:
    • Send a follow-up email to attendees, or
    • Send to someone else
  4. Enter email addresses, update the subject or message as needed.
  5. Optional:
    • Add a video link
    • Protect the recap with a passcode (copy the passcode if used)
  6. Select Send Email.

Share a video snippet

  1. Open the recap.
  2. Select Transcript.
  3. Highlight what you want to share.
  4. Select Share video snippet.
  5. Choose to send by email or copy the link.
  6. Copy the passcode if restricted.

If needed, you can revoke a video link. This removes access for everyone who received it.

To share with specific people again, revoke the old link first, then send a new one.

  1. Open the recap.
  2. Select More in the top right.
  3. Select Revoke video link.
  4. Confirm by selecting Revoke video link again.
  5. Refresh the page to get a new link.

Export a transcript as a TXT file

  1. Open the recap you want to export.
  2. Select Transcript.
  3. Select 36312577762583 Download as TXT.
