How to use the Calendly extension for Gmail

The Calendly extension makes scheduling quick and easy. From your Gmail message window you can: 

• See and share your scheduling links with invitees
• Easily add Calendly links as hyperlinks 
• Offer time slots in an email 
• Create a one-off meeting
• Create a meeting poll

Before you begin

• Install the Calendly extension by navigating to the Integrations & apps page and select the Extensions and apps section.
• When enabling the Gmail integration for the first time, Calendly may request additional permissions. 

  

How to turn on or off the Gmail integration 

From the Calendly browser extension:

1. Select the Calendly logo in the top left corner of the extension.
2. From the drop-down menu, choose Settings.
3. Under Extension integrations, toggle Gmail on or off.

The first time you use it, you’ll need to accept Calendly permissions to enable the Gmail integration. After that, Calendly will appear in your Gmail menu.

Sharing your link in Gmail

When composing a message, the Calendly icon appears in your Gmail toolbar. Click it to:

• Share an event type:
• Insert link - Adds your Calendly link to the message. To hyperlink text, highlight it first, then click Insert link.
• Offer time slots - Share available time slots directly in the email so invitees can quickly pick a time that works for them. 
• Create a one-off meeting or meeting poll, then share the link in your message. These options open in a pop-up window.

Keyword detection

When writing an email in Gmail, the Calendly extension detects scheduling-related keywords and links you to your event types. This detection happens only on your device, so your email content stays private. Calendly will show a list of matching phrases and a quick link to share your booking.

To turn off keyword detection, click the X at the bottom right. You can either hide it temporarily by selecting Hide this time or disable it permanently by choosing Don't show me this again.

Permissions and Privacy

Calendly uses Gmail permissions to add a button with the Calendly icon to your Gmail toolbar. These permissions also help us track errors and analytics to improve your experience.
