Scheduling FAQs
Set your availability on the Availability page. Choose the days and times you want to accept meetings. Calendly only offers times that fit your availability and your connected calendar.
This usually happens if:
- Your calendar has a conflict
- Your availability or event settings block this time
- The event type is turned off
To fix it, check your availability and event type settings, review your connected calendar, and make sure the event type is active.
Each event type has its own settings. For example, you can:
- Set the meeting length
- Limit how far in advance people can book
- Control minimum notice time
Calendly detects time zones automatically for you and your invitees. You can change your time zone in your Account settings. Invitees see times in their own local time zone by default.
You can block time by:
- Adding busy events to your connected calendar
- Using Date overrides to mark specific days as unavailable
Blocked times will not appear as bookable.
Buffer time adds space before or after meetings. It helps prevent back-to-back bookings. You can change or remove buffer time in each event type’s scheduling settings, or from your Meetings page for individual bookings.
Use the reschedule or cancel link in the confirmation email or calendar invite, or manage bookings from the Meetings page. Calendly updates everyone’s calendar automatically and frees up the time slot.
Calendly sends email notifications when meetings are booked, rescheduled, or canceled. You can also set up reminder emails or text messages in Workflows to reduce no-shows.

Each event type has its own unique link.
Calendly checks your connected calendar in real time. If a time is busy on your calendar, Calendly won’t offer it to invitees. This keeps meetings from overlapping.
