iCloud overview
Attention:
As of August 20, 2024, Calendly no longer supports new connections to iCloud Calendar. Existing connections will continue to be supported, but new users or those who have not previously set up an iCloud Calendar connection will not be able to do so. To learn how to connect a Google, Office 365 or Outlook.com, or Exchange calendar, check out How to connect your calendar.
iCloud vs. iCal
What is an iCloud calendar?
An iCloud calendar is a digital scheduling tool available to Apple users through iCloud. It helps you organize events, appointments, and reminders while syncing across your Apple devices and the iCloud website.
What is the iCal app?
The Apple Calendar app (also known as iCal) on your Mac, iPad or iPhone is a calendar viewer, not a standalone calendar. It displays events from other connected calendars, like Google or iCloud Calendars. Because of this, Calendly doesn’t integrate directly with iCal.
You can connect Calendly to supported iCal connected calendars if you manage your schedule from the iCal app.
How to connect Calendly with calendars on iCal
To use iCal and Calendly together, connect Calendly to one of the supported calendars displayed in iCal. Keep in mind, Calendly no longer supports new connections to iCloud Calendar.
- For Example: If you view a Google Calendar in iCal, connect your Google Calendar to Calendly under Calendar settings in Calendly.
All-day events and free/busy status in iCloud
If you connected iCloud to Calendly before August 20, 2024, you can use an event’s Free or Busy status to control how all-day events affect your availability.
Apple no longer allows changing this setting in the iCloud desktop app. You may still be able to update it on your iPhone or iPad.
How event status works in iCal
- The Show As (Busy/Free) option only appears for events created on a connected Google Calendar.
- Events created directly on an iCloud calendar do not show this option. This is expected.
If you don’t see Busy or Free, try editing the event on your iPhone or iPad.
Change an event’s status on iPhone or iPad
- Open the event.
- Tap Edit.
- Select Show As.
- Choose Busy.
If you don’t see Show As, create a new iCloud calendar on your iOS device and try again.
If all-day events aren’t working as expected
To block time
- Set the event to Busy on iPhone or iPad, or
- Create a timed event (for example, 7 a.m.–7 p.m.) instead of an all-day event.
To stop a Busy all-day event from blocking time
- Create a new iCloud calendar (for example, “All-day events”).
- Move the event to that calendar.
- In Calendly, go to Account > Calendar Connections.
- Under Calendars to check for conflicts, uncheck the new calendar.
This controls which all-day events affect your availability.
Frequently asked questions
When you move a repeating event on an iCloud calendar, both the original time and the new time may block your availability.
For example, if you move a 9 a.m. recurring meeting to 9:30 a.m., both 9 a.m. and 9:30 a.m. can appear unavailable.
How do I fix it?
- Delete the repeating event you moved.
- Create a new event at the correct time.
If the original time is still blocked:
- Delete the first event in the series, or
- Delete the entire repeating series and recreate it.
